Any vehicles approaching the site from the A13 \/A406 Beckton Roundabout, should exit onto the A1020 Royal Docks Road, until Gallions Roundabout. Take the fourth exit onto Royal Albert Way and continue westbound along Royal Albert Way until the Excel London Roundabout. Vehicles should then go down Sandstone Lane and into the traffic marshalling area, to await further instructions from the Excel traffic team.<\/p>\n<p>&nbsp;<\/p>\n<p>There is no access for event vehicles via Seagull Lane. All event traffic should use the route detailed above.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>BUILD UP &amp; BREAKDOWN<\/strong><\/p>\n<p>Please read <a href=\"https:\/\/divcommanual.com\/dcw\/exhibition-timetable\/\" target=\"_blank\" rel=\"noopener\">the event timetable<\/a> carefully as these may now differ from previous years.\u00a0We may be asking you to start your build up later, dependent on the area of the hall that you are in, or in some cases we may need you to arrive earlier, to take the pressure off the last day of build that is usually the busiest.<\/p>\n<p>&nbsp;<\/p>\n<p>Please make sure to pre-order\u00a0all of\u00a0the services that you will require (electrical, furniture, shell scheme extras, internet, carpet etc) prior to coming onsite.<\/p>\n<p>&nbsp;<\/p>\n<p>Consider and discuss with your stand contractor ways to reduce the complexity of your Build-up and Breakdown activities to minimise the time and number of people required to build and dismantle the stand. For example, modular builds and pre-fabricated panels which can be partially constructed\/prepared off-site.<\/p>\n<p>&nbsp;<\/p>\n<p>Reducing the complexity of your stand build should also give you other benefits, including additional free floorspace to engage with your visitors and a potential reduction in your costs. Remember, it is your products that the visitors really want to see, rather than a complex stand build.<\/p>\n<p>&nbsp;<\/p>\n<p>The Site Rules for the event will be issued prior to the show in your exhibitor bulletin. It is your responsibility to communicate these rules to all your staff,\u00a0contractors\u00a0and suppliers in line with CDM regulations.<\/p>\n<p>&nbsp;<\/p>\n<p><a href=\"https:\/\/www.excel.london\/build-breakdown-faqs\" target=\"_blank\" rel=\"noopener\">Build &amp; Breakdown Frequently Asked Questions | Excel London<\/a><\/p>\n<p>&nbsp;<\/p>\n<p><strong>BREAKDOWN \u2013 SHELL SCHEME STANDS<\/strong><\/p>\n<p>All goods must be packed up and removed by\u00a0<strong>7pm<\/strong>. Failure to do so will incur removal costs and disposal or storage costs for which the Exhibitor will be wholly responsible. The Organiser cannot be held responsible for goods uncollected within this time. No Exhibitor is permitted to build up or pull out outside the specified times. Breakdown will not commence until\u00a0after show close\u00a0and\u00a0the hall is clear of visitors.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>REMOVAL BY EXHIBITORS<\/strong><\/p>\n<p>Exhibitors are responsible for the complete removal from the Exhibition Hall of all exhibits, (i.e. stands built on space only sites, goods and materials used by them, together with all waste and rubbish) in accordance with the directions of the Organiser. Should any Exhibitor fail to remove any of the foregoing within the time stipulated, then the Organiser shall be entitled to remove and dispose of such materials without liability to the Exhibitor, who shall be liable for and indemnify the Organiser in respect of all costs and expenses incurred. The Exhibitor shall also indemnify the Organiser in respect of any claim or liability suffered or incurred by the Organiser for failure to give possession or any part of the Exhibition Hall to the Owner on the due date. The Organiser reserves the right to specify the time at which individual stands and exhibits shall be removed. Notwithstanding instructions issued specifically for the closing night of the Exhibition, the security of exhibits, stands, furniture and all property of the Exhibitors at all times including the demolition period is wholly the responsibility of the Exhibitor, and the Organiser will not be responsible for any loss or damage suffered or incurred.<\/p>\n<p>&nbsp;<\/p>\n<p>We strongly recommend that you breakdown, pack up and remove your goods before\u00a0<strong>7PM on the last day of the show\u00a0<\/strong>to reduce any possible security problem. PLEASE NOTE that ALL goods, stands and other items MUST be collected and removed from the premises\u00a0when our tenancy finishes. Failure to do so will incur removal costs and disposal or storage costs for which the exhibitor will be wholly responsible. If you are using a courier to collect your\u00a0goods,\u00a0please make sure that they are aware of this deadline. We would strongly recommend waiting on your stand with your possessions until handed directly to the courier.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.2 ANNOUNCEMENTS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Show Management reserves the right to make public address announcements in the Exhibition Hall for notifications, meetings,\u00a0seminars\u00a0and other events. No unauthorised announcements will be made.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.3 APPROVAL OF EXHIBITS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The Exhibitor must ensure its products comply in all respects with the Rules &amp; Regulations. The Organiser reserves the right to reject for inclusion at any time before or during the show, any exhibit or services which in its view or that of other authorities is unsafe or unsuitable for inclusion, or which in the Organisers\u2019 opinion is not germane to the Exhibition. The decision of the Organiser as to such exclusion and\/or removal of exhibits will be\u00a0final\u00a0and binding.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>PRIOR APPROVAL AND CONSENTS<\/strong><\/p>\n<p>The Exhibitor MUST apply in writing to the Organisers prior approval and consent for:<\/p>\n<ul>\n<li>Animals\/Pets on stands<\/li>\n<li>Children on Stand<\/li>\n<li>Competitions, prize draws, raffles etc<\/li>\n<li>Demonstrations<\/li>\n<li>Helium Gas\/Air\/Balloons<\/li>\n<li>Special Effects\/Lasers<\/li>\n<li>Vehicles\/Mobile Units\/Trailers<\/li>\n<li>Special Treatments\/\u2019Hands on\u2019 Treatments<\/li>\n<li>Banner\/Flags<\/li>\n<li>Construction of Space-Only stand<\/li>\n<li>Dangerous materials or exhibits<\/li>\n<li>Filming<\/li>\n<li>Sub-letting of stands<\/li>\n<li>Working machinery \/water features<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>SALES OF GOODS<\/strong><\/p>\n<p>Direct retailing of goods from stands is NOT permitted although trade orders may be taken.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>DEMONSTRATIONS<\/strong><\/p>\n<p>Any Exhibitor wishing to carry out demonstrations on its stand must obtain prior written consent of the Show Organisers 6 weeks before the show, giving details of the intended demonstration. All demonstrations or efforts to advertise, promote sales and operate exhibits must be conducted so as not to cause any annoyance or inconvenience to other Exhibitors and Visitors. Any such activity which, in the opinion of the Organiser is dangerous, causes annoyance to any other Exhibitor or visitor or is otherwise inappropriate may be prohibited. The Organiser may in the case of serious or persistent breach of this requirement, exclude the Exhibitor or terminate the Exhibitor\u2019s Contract. Demonstrations must not block or hinder passage of the gangways or aisles.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Product demonstrations<\/strong><\/p>\n<p>Product demonstrations can attract crowds and it is recommended that such activities are strictly limited to essential demonstrations only.<\/p>\n<p>&nbsp;<\/p>\n<p>If a demonstration (on the basis of demonstrating to more than two people) of your product is vital, you will need to provide the organiser with evidence of how you intend to manage and monitor your audience to ensure that over-crowding does not occur, gangways are kept clear and physical interactions are minimised. An accompanying risk assessment will be required.<\/p>\n<p>&nbsp;<\/p>\n<p>Consider increasing the number of demonstrations throughout the day, with a controlled and reduced viewing capacity at any one time.<\/p>\n<p>&nbsp;<\/p>\n<p>As an alternative, consider offering a virtual demo\/walk through instead.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>GANGWAYS<\/strong><\/p>\n<p>The gangways in the venue are the minimum permissible in law. Under no circumstances will exhibits, stand dressings, tables, chairs etc be allowed to encroach into the gangways. It is the responsibility of the Exhibitor to ensure the gangways adjacent to its stand are kept free from obstruction during the whole time the Exhibition Hall is open and so far as practicable during the setting up and the dismantling of the Exhibition.<\/p>\n<p>&nbsp;<\/p>\n<p>The Organiser reserves the right to require any Exhibitor who, in the opinion of the Organiser, is using his stand for demonstrations in such a manner as to cause or to be likely to cause congestion in the gangways, to arrange for a counter or other stand structure to be set back 1.2m (4ft) from the front limit of the stand.<\/p>\n<p>&nbsp;<\/p>\n<p>No Exhibitor or any person for whom the Exhibitor has responsibility shall:<\/p>\n<ul>\n<li>Lecture from his stand or address visitors in such a way as to collect a crowd in or cause congestion in the gangways. Demonstrators must work from the normal stand platform level.<\/li>\n<li>Be allowed to perambulate or use any of the gangways,\u00a0foyer\u00a0or forecourt of the Exhibition Hall for the purpose of exhibiting, promoting, demonstrating, selling, giving away, or advertising any goods or services.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>Any person breaching this requirement, unless previously given permission by the Organiser in writing, is liable to be removed from the Exhibition Hall and refused re-admission. In case of serious or persistent breach, the Organiser may exclude the Exhibitor or terminate the Exhibitor\u2019s contract.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>ANIMALS\/PETS<\/strong><\/p>\n<p>No Exhibitor shall allow any animal or pet (including birds or fish) on their stand or within the Show without the express permission of the Organisers in writing. Permission for the relevant licenses will be passed to Exhibitors who are reminded that they must comply with the requirements of the Pet Animals Act 1951.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>COMPETITIONS, PRIZE DRAWS, RAFFLES<\/strong><\/p>\n<p>Any Exhibitor wishing to hold any competition, raffle, prize draw, lottery or similar activity must obtain permission from the Organiser\u00a04 weeks before the show,\u00a0in order that any necessary licenses can be obtained. The Organiser reserves the right to withdraw any consent whereupon such competition, raffle, prize draw, lottery or similar activity shall not take place. Exhibitors are reminded that they are responsible for compliance with the Lotteries and Amusements Act 1976 and the Gaming Act 1968 and any other relevant legislation.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>SPECIAL EFFECTS\/LASERS ETC<\/strong><\/p>\n<p>If Exhibitors wish to use any special effects (e.g. lasers, smoke machines, pyrotechnics) then a special application must be made to Operations\u00a04 weeks before the event. It is imperative that we are aware of any plans\u00a0in order for\u00a0us to apply for the necessary licenses. The Exhibitor is wholly responsible for costs incurred for special licenses and any other related fees.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>WATER FEATURES<\/strong><\/p>\n<p>Examples of water features can\u00a0include\u00a0showers, spas, garden ornaments and fountains, washing equipment and pools. Any water feature that produces a water spray (however minor) poses a particular risk to public safety with regards to Bacteria and specifically Legionella pneumophila the bacteria responsible for Legionnaires Disease.<\/p>\n<p>EXHIBITORS MUST IDENTIFY ANY WATER FEATURES ON THEIR STAND with or without spray and notify the Organisers prior the Show. All Exhibitors with proposed water features on their stand must complete a detailed Risk\u00a0Assessment, and\u00a0return this by\u00a04 weeks before the event.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.4 CONDUCT OF EXHIBITORS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<ul>\n<li>The Exhibitor and all persons for whom it may be considered responsible in any way whatsoever, must conduct itself in such a manner as shall not in the view of the Organiser cause disturbance to any other Exhibitor, any Visitor or the Organiser, and shall not create any disturbance, loud noise or obstruction which is, in the view of the Organiser, unnecessary\u00a0or unacceptable. The Exhibitor and all persons engaged or employed by them\u00a0must present a clean and tidy appearance and maintain a polite and sober demeanour at all times. Any person who does not comply with these requirements shall be liable (at the discretion of the Organiser) to have their badge revoked and shall be removed from the Exhibition Hall and refused re-admission. This shall also be applicable to any person deemed in the opinion of the Organisers, to be intoxicated or under the influence of drugs.<\/li>\n<li>The Exhibitor must conduct its business only from its own stand and must not, under any circumstances, canvas visitors in the aisles or in any other part of the show.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<h2><strong>1.5 CHILDREN<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<ul>\n<li>To comply with Health &amp; Safety Regulations, no persons under the age of 16 will be admitted to the show halls during build up and breakdown. Local Authority Permission needs to be obtained if you intend to employ children (under 16 years old) on your stand. Please contact Operations by 6 weeks out from the show.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<h2><strong>1.6 CLEANING &amp; RUBBISH REMOVAL<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The gangways, aisles and public areas will be cleaned daily when the show is open. You must arrange removal of your own waste during build-up and breakdown, or order this to be removed by Excel <a href=\"https:\/\/www.excel.london\/webshop\" target=\"_blank\" rel=\"noopener\">here<\/a>.\u00a0 Waste bins will be emptied and where required, floors of the stand vacuumed daily. Clear rubbish sacks should be used in the hall at all times. We strongly suggest that you bring with you some clear waste refuse sacks. The cleaners will only remove rubbish in refuse sacks that has been placed in the aisle of the show floor at the end of build-up day and show days. If you anticipate large amount of waste on your stand please ensure you order specific bins for your stands in advance with Excel. Food waste MUST be separated from other waste by the exhibitors prior to leaving in refuse sacks. At the end of the show, unused non-perishable food stuffs may be donated to charity.<\/p>\n<p>&nbsp;<\/p>\n<p>All other goods must be removed by the Exhibitor at the end of show. Exhibitors are responsible for the provision and use of waste bins on their own stands and for ensuring that the stand and exhibits are maintained in a clean state throughout the show. They are reminded to make sure no items or materials are left onsite after the show. Recycling facilities will be provided, please recycle goods wherever possible.<\/p>\n<p>&nbsp;<\/p>\n<p><em>See Removal by Exhibitor in point 1.1<\/em><\/p>\n<p>&nbsp;<\/p>\n<p><strong>LITTER DISPOSAL<\/strong><\/p>\n<p>Exhibitors\u00a0with stands\u00a0likely to accumulate litter during the day, e.g. food and drink cartons, paper and card etc MUST provide themselves with non-combustible litter bins for this waste.\u00a0Exhibitors expecting a large amount of waste on their stand should book their own dedicated bin with Excel.<\/p>\n<h2><\/h2>\n<h2><strong>1.7 DELIVERIES<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Please <a href=\"http:\/\/divcommanual.com\/dcw\/deliveries\/\" target=\"_blank\" rel=\"noopener\">click here<\/a> for full delivery information<\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<h2><strong>1.8 DILAPIDATION<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The Exhibitor is responsible for the cost of making good,\u00a0restoring\u00a0or renewing all damage or dilapidation to the Exhibition Hall or any part thereof, caused by the Exhibitor or any person employed or engaged on its behalf. Dilapidation includes (by way of example only) marks caused by paint, distemper, mortar or any other adhesive substance (including carpet tape, bolt, screw or nail holes, battens, boarding or any other material or substance attached or adhering to walls, floors or any part of the building; loose wire, waste, rubbish or other items left behind). The cost of making good will be assessed by the Organiser or the Owner and charged to the Exhibitor by the Organiser. In their own interests Exhibitors should satisfy themselves as to the condition of their site, both before stand erection and after clearance. Exhibitors occupying Shell stands are also responsible for the cost of making good, restoring or renewing any damage or dilapidation to shell stand structures, floor coverings, light fittings, or any part thereof, whether caused by themselves or by any persons employed or engaged on their behalf. The cost of making good any damage will be assessed by the Shell stand Contractor and advised to the Exhibitor.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.9 DISABLED FACILITIES<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Excel London offers 158 disabled parking spaces, located within close proximity of the venue. Spaces are available to blue badge holders only and badges must be displayed at all times. Parking for disabled visitors is charged at the normal rate. EU regulations state that disabled persons must be afforded the same opportunities as able-bodied persons \u2013 please note that your stand should be easily accessible to visitors in wheelchairs and with other disabilities \u2013 i.e. include ramps on stands with platforms.\u00a0\u00a0For full show <a href=\"https:\/\/www.excel.london\/visitor\/venue-guide\/accessibility\" target=\"_blank\" rel=\"noopener\">information on accessibility please click here<\/a>.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.10 EMERGENCY PROCEDURES<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Measures and reactions to immediate, life threatening, emergencies (e.g. evacuation due to fire or terrorist attack) take precedence over any COVID-19 controls. Such measures are not applicable where there is an immediate threat to life.<\/p>\n<p>&nbsp;<\/p>\n<p>During build-up, all Exhibitors will be given a copy of the venue&#8217;s \u2018Emergency Procedures for Exhibitors\u2019. Please make sure that all staff and Contractors read this and understand the contents. If you have any queries, please contact the Organisers&#8217; Office.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.11 EXHIBITOR BADGES<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The Organisers will supply the Exhibitor with named passes in reasonable quantities, admitting bona fide stand assistants, employees,\u00a0contractors\u00a0and Exhibitors to the Exhibition. For any queries at the show regarding lost badges, incorrect names or other Exhibitor badge queries please go to the registration area.<\/p>\n<ul>\n<li>Exhibitor badges are valid throughout the whole period of the Show.<\/li>\n<li>Contractor badges are only valid during build-up and pull-out periods and will be available from security officials on arrival.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>For Exhibitor Badges please complete the\u202f<a href=\"https:\/\/divcommanual.com\/dcw\/exhib-badges\/\" target=\"_blank\" rel=\"noopener\">Exhibitor badges form.<\/a><\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<p>Exhibitor badges are valid throughout the whole period of the Show. In the interests of security, it\u00a0is always imperative that Exhibitors and Contractors wear identity\u00a0badges during\u00a0the show, including build-up and breakdown. Security will check the badges of EVERYONE wishing to enter the show floor and will not admit anyone without a valid pass.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Contractors<\/strong><\/p>\n<p>Contractor wristbands are only valid during build-up and pull-out periods.<\/p>\n<p>&nbsp;<\/p>\n<p>Contractors do not need to pre-register before coming onsite.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>ADMISSION TO THE EXHIBITION<\/strong><\/p>\n<p>The Organiser reserves the right to refuse to admit or to expel from the Exhibition Hall, any person at any time not withstanding that person\u2019s possession of any official badge or pass. The Organiser will issue official badges of admission and no other form of admission badge or pass will be valid.<\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<h2><strong>\u00a0<\/strong><strong>1.12 FILMING<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Only\u00a0handheld, battery operated equipment is allowed during opening hours of the event. Aisles\/Gangways are to be kept clear of all cameras,\u00a0cables\u00a0and other equipment. It is important that you notify the Organisers of any TV, filming, video or radio broadcasting that you anticipate being carried out at the Show as there are certain Health &amp; Safety Regulations to be adhered to when using broadcast media. If you are planning or allowing any filming or recording for television or\u00a0radio,\u00a0please contact Operations\u00a04 weeks before the event.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.13 FIRE &amp; SAFETY REGULATIONS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>ALL stands must conform to BS 476-Part 7 class 1 Fire Regulations. If you have any queries, please contact the Excel Fire Safety Officer or Operations at Diversified.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>DANGEROUS MATERIALS OR EXHIBITS<\/strong><\/p>\n<p>All Exhibitors, Contractors, sub-contractors\u00a0and all other personnel must comply with the COSHH Regulations (Control of Substances Hazardous to Health). Listed below are some of the main provisions of these Regulations.<\/p>\n<ul>\n<li>No naked lights or oil lamps may be used in the Exhibition Hall.<\/li>\n<li>No petrol, poisons, corrosive chemicals, flammable substances or other dangerous substances or materials are allowed into the Exhibition Hall.<\/li>\n<li>Gas requirements must be obtained from the nominated supplier only<\/li>\n<li>The Exhibitor must conform to and observe all Regulations and requirements concerning dangerous materials and substances as laid down by the Authorities and comply with all applicable laws.<\/li>\n<li>All Stands must comply with Class 1 Fire Regulations.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>HAZARDOUS SUBSTANCES<\/strong><\/p>\n<p>Petroleum Spirit, Paraffin or other mineral oil may not be used in a lamp, stove or other appliance or exhibit without special prior permission. Please contact Operations\u00a06 weeks before the event.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>FIREPROOFING\/ CONSTRUCTION MATERIALS<\/strong><\/p>\n<p>All materials used in the construction of stands, features and displays, including signs and fascias, shall be:<\/p>\n<ul>\n<li>Of a suitable nature and quality for the purposes and conditions of their intended use<\/li>\n<li>Adequately prepared and fixed in order to perform the functions for which they are designed<\/li>\n<li>Compliant with the British Standard relevant to the particular material or item and ultimately, non-combustible, inherently non-flammable or durably flameproof in accordance with BS 476-Part 7<\/li>\n<li>\u00a0Water-based, where applicable, e.g. adhesives, paint and fillers<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>All display materials must be made from fire proofed materials to the satisfaction of the Authorities and Regulations; as a brief guide to the main points please note the\u00a0following:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Decorative Materials\u00a0<\/strong><\/p>\n<ul>\n<li>Decorative materials used for stand dressing must be flame proofed or purchased already treated by use of the appropriate chemical.<\/li>\n<li>Untreated wallpaper and similar thin surface finishes, not exceeding 1mm in thickness, may be accepted, provided they are firmly fixed.<\/li>\n<li>Artificial plants and flowers are combustible and give off toxic fumes. Therefore, they must not be used for stand dressing. Silk-type flowers are acceptable, providing they are fireproof or have been treated and marked as such.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Fabrics<\/strong><\/p>\n<ul>\n<li>Drapes, curtains, hangings etc. must be inherently or durably flame-proofed. Otherwise they may be treated with a proprietary flame retardant. Test certificates must be available for inspection for any materials intended to be used.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Paints<\/strong><\/p>\n<ul>\n<li>Only Water-based paint can be used onsite.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Plastics\u00a0<\/strong><\/p>\n<ul>\n<li>All Plastics including the use of artificial plants (dried flowers are permitted) and vision panels must conform to BS 476-Part 7, Class 1 Marked<\/li>\n<li>Perspex must not be used but Lexan &amp;\u00a0Macralon\u00a0are OK.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Timber\u00a0<\/strong><\/p>\n<ul>\n<li>Timber under 25mm thick much be impregnated to Class 1 standard. Tested materials should have BS 476-Part 7,Class 1 Marked<\/li>\n<li>Boards, Plywood, Chipboard etc must be treated if under 18mm thick. the exception to this is MDF due to its density.<\/li>\n<li>MDF and Chipboard must not be machined onsite due to the the hazardous dust produced.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>General Fire Safety\u00a0<\/strong><\/p>\n<ul>\n<li>Gangways \u2013 No exhibits, stand dressing,\u00a0tables\u00a0or chairs etc are to be allowed to encroach into the gangways.<\/li>\n<li>Naked flames \u2013 will not be allowed within the Exhibition Hall.<\/li>\n<li>Inflammable substances \u2013 Explosives or inflammable substances may not be exhibited or brought into the Exhibition Hall.<\/li>\n<li>Neon Lighting is permitted but a fireman\u2019s switch much be installed on the stand.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>The venue Fire Safety Officer will carry out an inspection before the opening of the event to ensure all fire exits and gangways are clear. Venue Fire Officers will patrol during the event.\u00a0We would remind Exhibitors that the Local Authority has the right to remove any fitting or material which contravenes these Regulations and ultimately to\u00a0close down\u00a0a stand. Exhibitors should draw the attention of their Contractors to this requirement. An Exhibitor committing a breach of any of the above provisions will be liable for all claims, loss and damage thereby caused and will indemnify the Organiser and the owner in respect thereof.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>FIRE EXTINGUISHERS\/FIRE BLANKETS<\/strong><\/p>\n<p>Fire Extinguishers will be placed around the Show Floor by Excel Fire Officers, these are for emergency use only and should not be moved or tampered with. It is your responsibility to ensure you have the relevant fire fighting equipment on your stand based on your stand activities and risk assessment.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.14 FIRST AID<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The medical centre is located on level 0, down the staircases by hall entrances S4 \/ N4, phone number 020 7069 5556.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>\u00a01.15 GAS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Gas run appliances (including free-standing units) must be run off mains gas, which can be provided on all stands. Excel Regulations specify that all gas connections must be made by their Official Contractor, Excel Gas appliances must be situated well away from any combustible materials. Gas burners or similar open flames shall be mounted on suitable non-combustible bases e.g. 2\u201d stone slabs which must be not less than 2\u2019 6\u201d above floor level If you require gas, please contact Excel on +44 (0)20 7069 4747. This must be returned to the supplier 4 weeks before the event. To be completed by all Exhibitors wishing to use any apparatus or appliances run on gas. If you intend to cook, prepare or sample any sort of food or drink on your stand you must contact the operations team <a href=\"mailto:ops@divcom.co.uk\">ops@divcom.co.uk<\/a> PLEASE NOTE THAT EXCEL DO NOT PERMIT THE USE OF LPG OR OTHER FLAMMABLE GASES WITHIN THE EXHIBITION HALL<\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<p><strong>BOTTLED GAS (Propane, Butane, LPG)<\/strong><\/p>\n<p>PLEASE NOTE THAT EXCEL DO NOT PERMIT THE USE OF LPG AND OTHER FLAMMABLE GASES WITHIN THE EXHIBITION HALL.<\/p>\n<p>&nbsp;<\/p>\n<p>Helium cylinders are permitted but are subject to specific conditions.<\/p>\n<p>&nbsp;<\/p>\n<p>Gas run appliances including free-standing units must be run off mains gas, which can be\u00a0provided on all stands and ordered through the venue.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>COMPRESSED AIR<\/strong><\/p>\n<p>There are strict regulations governing the use of pressurised gases within the Exhibition Hall. Compressed air may not be used during the open hours of the Exhibition and may only be used at other times under supervision. If you wish to use compressed\u00a0air,\u00a0please notify Operations with details.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>HELIUM (Gas\/Balloons)<\/strong><\/p>\n<p>Helium gas is permitted in the Exhibition Hall but is subject to the following conditions:<\/p>\n<p>&nbsp;<\/p>\n<p>Only one cylinder at a time is allowed on the stand and this must be secured to the stand with either cable ties or chain.<\/p>\n<p>&nbsp;<\/p>\n<p>Helium cylinders may only be used prior to the opening of the show, not during show hours.<\/p>\n<p>&nbsp;<\/p>\n<p>Excel and the local authorities need to be aware of any gas usage and therefore any Exhibitor wishing to bring helium gas cylinders into the exhibition hall needs to notify Operations 4 weeks before the event with details. Helium balloons must be secured properly. A dilapidation charge to cover retrieval will be made to the Exhibitor if any become loose and float into the roof structure or ventilation system.<\/p>\n<p><em>\u00a0<\/em><\/p>\n<h2><strong>1.16 INSURANCE<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Exhibitors must insure the full replacement value of their stand, equipment, and materials, and hold at least \u00a32 million Public Liability insurance. Diversified Business Communications provides cover under its policy for an Insurance Participation Fee, payable with your stand rental.<\/p>\n<p>If you already have adequate cover, you will receive an email with instructions on how to provide evidence of your insurance to InEvexco Ltd for approval.<\/p>\n<p>The Organiser is not liable for the insurance or services provided by InEvexco Ltd, who are regulated by the FCA (No. 579079). Please refer to the Terms and Conditions of your booking for full details regarding insurance.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.17 LOST PROPERTY<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Please hand in any lost property found on your stand or elsewhere either to the Organisers Office or to the event security team.<\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<h2><strong>1.18 MUSICAL ENTERTAINMENT\/COPYRIGHTS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>If you propose to use audio\/visual equipment to play sound recordings, show films, receive visual images or sounds conveyed by any electronic means, or if you propose a live performance, it is your responsibility to obtain all appropriate licenses at your own expense. This can be purchased direct with PPL and PRS. <a href=\"https:\/\/pplprs.co.uk\/\" target=\"_blank\" rel=\"noopener\">https:\/\/pplprs.co.uk\/<\/a><\/p>\n<p>&nbsp;<\/p>\n<p><strong>LIABILITY<\/strong><\/p>\n<p>The Organiser shall not be liable for any liability the Exhibitor may sustain in respect of the infringement of any copyright, trade mark, service mark, patent, trade name, registered design, designs or other form of intellectual or industrial property or any know-how, inventions, formulae, confidential processes or information, or computer programmes and software and any other protected rights, assets or interest arising out of its participation in the Exhibition. The Exhibitor shall not acquire or receive any right, or entitlement to, or in connection with the Exhibition or its name through exhibiting in the Exhibition and agrees not to seek or claim any such right or entitlement.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>COPYRIGHTS<\/strong><\/p>\n<p>Exhibitors must comply with all relevant provision of the Copyright Design &amp; Patent Act 1988.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>NOISE<\/strong><\/p>\n<p>Volumes for pre-recorded or live performances must be of an acceptable level with speakers facing inward towards the stand. All stands must be able to switch off the power if the noise is excessive. In cases of dispute the decision of the Show Organisers is final.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.19 RISK ASSESSMENTS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p><strong>CONTRACTORS<\/strong><\/p>\n<p>All Space Only stand Contractors must submit a risk assessment, as well as other documents, for the build of their stand. This should include details of any stand building (even on shell scheme stands) and potential hazards during build up and breakdown, as well as the controls in place to reduce and minimise these hazards.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>EXHIBITORS<\/strong><\/p>\n<p>All stands (Space and Shell) are required to submit a risk assessment based on activities while exhibitors are on their stand. This includes time for setting up as well as for show open. This is to be completed by exhibitors, not stand contractors. A template for this can be found in the<a href=\"https:\/\/divcommanual.com\/dcw\/health-safety-assessment\/\" target=\"_blank\" rel=\"noopener\"> Health &amp; Safety Form.<\/a><\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.20 SECURITY<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The organisers will be providing round the clock security from the duration of build-up, show open and breakdown. The management cannot be held responsible for any loss, damage or accident which may occur to any exhibitor\u2019s or contractor\u2019s personal property. There will be a Security Office based onsite. Please note the following advice:<\/p>\n<ul>\n<li>Your stand should never be left unmanned at any time \u2013 make sure you have sufficient staff for your stand during the show so that it is always staffed. During build up and breakdown especially, and once exhibits are on your stand it is very important to keep someone on the stand.<\/li>\n<li>Consider bringing or hiring a lockable cabinet to secure briefcases, mobiles laptops, handbags and other valuables during the day \u2013 even when you are on your stand you may get busy and not notice someone taking them.<\/li>\n<li>Consider ordering night sheets for your stand- please see the shell scheme extras form<\/li>\n<li>Ensure you are adequately insured<\/li>\n<li>If you have any queries \u2013 contact either Security or the organisers at the show.<\/li>\n<li>During breakdown we strongly recommend that you pack up and remove your goods from the stands as soon as possible to reduce any security risk. Do not leave valuables unattended.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>SECURITY DURING BREAKDOWN<\/strong><\/p>\n<p>We strongly recommend that you breakdown, pack up and remove your goods from the stands\u00a0before 7pm on the final show day\u00a0to reduce any possible security risk.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.21 SHOW ORGANISER\u2019S OFFICE<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>The Show Organiser\u2019s Office is located on the exhibition floor to the front of the halls.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>1.22 STORAGE<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>No excess stock, literature or packing cases may be stored on, around or behind the stand. Carpet may not be laid directly to the hall floor unless the appropriate tape is used. Nothing must be tacked, glued or nailed directly onto the Excel floor. Space Only sites will not be carpeted.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Floors\/utility ducts<\/strong><br \/>\nExcel has underground ducts and the floors above these have a point loading of 12 tonnes per sqm. Exhibitors building larger stands should take note of the above. Please note when designing the layout of your stand, that the ducts providing utilities (gas and water) are not continuous and can consequently have a bearing on placement of sinks, waste etc within your stand. We advise you to check your stand layout with Excel beforehand to iron out any potential problems.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.4 Shell Scheme Stand Information<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p><a href=\"http:\/\/divcommanual.com\/dcw\/shell-scheme-information-complete\/\" target=\"_blank\" rel=\"noopener\">Click here<\/a> for the full Shell scheme specification and information<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.4 Space only stand Information<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p><a href=\"http:\/\/divcommanual.com\/dcw\/space-only-information\/\" target=\"_blank\" rel=\"noopener\">Click here<\/a> for full guidance and information on Space only stands<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.6 STAND COMPLETION<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>All stands MUST be fully completed by close of build up. Please refer to <a href=\"https:\/\/divcommanual.com\/dcw\/exhibition-timetable\/\" target=\"_blank\" rel=\"noopener\">the show timetable<\/a>.\u00a0A fee of \u00a3500 will be charged to any Exhibitor whose stand is not ready in time. No stand may be worked on whilst the Exhibition is open. If a stand is not completed within the specified period, the Organisers reserve the right to terminate the contract, without refund of Charges which remain outstanding which shall be payable in full. The Exhibitor shall cease to have any right or entitlement to its stand if it is not staffed and ready for admission of Visitors half an hour prior to Show opening.<\/p>\n<p>&nbsp;<\/p>\n<p>It is important to consider the layout and design of your stand to ensure that you can both undertake the construction of your stand (for space only exhibitors, and for the set-up tasks undertaken by shell scheme exhibitors) and interact with visitors in a safe and controlled manner.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.7 STAND NUMBERS AND DIRECTION SIGNS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>A stand number is to be displayed to each open side of the stand.\u202f The Organiser reserves the right to affix stand numbers or directional signs on any stands in any reasonable position.\u202f Any signage provided by the Exhibitor must also be up to a standard approved by the Organisers.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>SIGNAGE AND COMMUNICATION<\/strong><\/p>\n<p>General codes of conduct will be communicated to all personnel pre-event and on arrival at the event via signage.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.8 STAND POWER<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>This will be switched off when the hall closes on pre-open night. All exhibitors with fridges and freezers etc or equipment regarding 24-hour power will need to order and pay for this supply from\u202fGES. To guarantee build power you must also book this with GES.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.8 RAISED FLOORING<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Any platform above 40mm will require a ramp to be installed or have a mobile ramp available on the stand.<\/p>\n<p>&nbsp;<\/p>\n<p>Platforms or stages that exceed 0.6 m in height must be treated as a complex structure.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.9 VEHICLES\/MOBILE UNITS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Any Exhibitors wishing to place Vehicles or mobile units on their stand MUST apply in writing to the <a href=\"mailto:ops@divcom.co.uk\">Operations Department<\/a> at Diversified Business Communications at least 6 weeks before the show.\u00a0All display vehicles will need to be in place on the morning of the first day of build. Failure to meet this deadline will result in the vehicle unable to be on the stand.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>3.10 WORKING MACHINERY &amp; EXHIBITS<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Any Exhibitor wishing to use working machinery or Exhibits must request permission and include full details in their stand plan.<\/p>\n<p>&nbsp;<\/p>\n<p>Moving machinery shall, at the expense of the Exhibitor, be installed and fitted with adequate protection, to the satisfaction of the Organiser and the Owner. If in the opinion of the Organiser, it is noisy or causes annoyance to other Exhibitors or to visitors, it shall be switched off or removed by the Organiser.<\/p>\n<p>&nbsp;<\/p>\n<p>No motors, engines, furnaces,\u00a0contrivances\u00a0or power-driven machinery may be exhibited in operation without adequate protection against fire and other risks as approved by the Organiser in writing. Such permission may be withheld or withdrawn at any time should such operating exhibits be likely to cause danger, annoyance or inconvenience to other Exhibitors or visitors.<\/p>\n<p>&nbsp;<\/p>\n<p>Safety devices may be removed only when the machines are not in operation and not connected to the source of power and only for the purpose of showing a visitor the design and construction of the uncovered part or parts. Nor shall the Exhibitor be entitled to any rebate or allowance in respect of charges due or paid under the Contract.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>4.5 FLORAL DISPLAYS &amp; PLANT HIRE<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>Floral decorations can considerably improve the appearance of a stand. If you buy your own plants, you can take them home at the end of the show. Please note: Artificial and cellulose plants are not permitted in Excel due to the Fire Safety Regulations. However, dried flowers, fresh flowers and flame-proofed silks are permitted.<\/p>\n<p>&nbsp;<\/p>\n<h2><strong>4.6 FURNITURE<\/strong><\/h2>\n<p>&nbsp;<\/p>\n<p>This year\u2019s furniture supplier will be GES Furnishings.
