1.1 ANIMALS/PETS
No exhibitor shall allow any animal or pet (including birds or fish) on their stand or within the show without the express permission of the organisers in writing. Permission for the relevant licenses will be passed to exhibitors who are reminded that they must comply with the requirements of the Pet Animals Act 1951. Guide Dogs are permitted entrance to the venue during show hours only.
1.2 ANNOUNCEMENTS
The organisers reserves the right to make public address announcements in the exhibition hall for notifications, meetings, seminars and other events. No unauthorised announcements will be made.
1.3 APPROVAL OF EXHIBITS
The exhibitor must ensure its products comply in all respects with the rules & regulations. The organiser reserves the right to reject for inclusion at any time before or during the show, any exhibit or services which in its view or that of other authorities is unsafe or unsuitable for inclusion, or which in the organisers’ opinion is not germane to the exhibition. The decision of the organiser as to such exclusion and/or removal of exhibits will be final and binding.
1.4 BOTTLED GAS (Propane, Butane, LPG)
PLEASE NOTE THAT Manchester Central DO NOT PERMIT THE USE OF LPG AND OTHER FLAMMABLE GASES WITHIN THE EXHIBITION HALL.
Helium cylinders are permitted but are subject to specific conditions.

Gas run appliances including free-standing units must be run off mains gas, which can be provided on all stands and ordered through the venue.
1.5 CHILDREN
To comply with health & safety regulations, no persons under the age of 16 will be admitted to the show halls during build up and breakdown. Local Authority permission needs to be obtained if you intend to employ children (under 16 years old) on your stand. Please contact the organiser’s by 4 weeks out from the show.
1.6 CLEANING & RUBBISH REMOVAL
The gangways, aisles and public areas will be cleaned daily. Waste bins will be emptied and where required, floors of the stand vacuumed daily. Clear rubbish sacks should be used in the hall at all times. We strongly suggest that you bring with you some clear waste refuse sacks. The cleaners will only remove rubbish in refuse sacks that has been placed in the aisle of the show floor at the end of build-up day and show days. Food waste MUST be separated from paper/other waste by the exhibitors prior to leaving in rubbish sacks in the aisles/gangways each evening after the show.
At the end of the show, unused non-perishable food stuffs may be donated to charity. All other goods must be removed by the exhibitor at the end of show. Exhibitors are responsible for the provision and use of waste bins on their own stands and for ensuring that the stand and exhibits are maintained in a clean state throughout the show. They are reminded to make sure no items or materials are left onsite after the show. Recycling facilities will be provided, please recycle goods wherever possible.
1.7 COMPETITIONS, PRIZE DRAWS, RAFFLES
Any exhibitor wishing to hold any competition, raffle, prize draw, lottery or similar activity must obtain permission from the organiser 4 weeks before the show, in order that any necessary licenses can be obtained. The organiser reserves the right to withdraw any consent whereupon such competition, raffle, prize draw, lottery or similar activity shall not take place. Exhibitors are reminded that they are responsible for compliance with the Lotteries and Amusements Act 1976 and the Gaming Act 1968 and any other relevant legislation. All competitions, raffles, prize draws, lotteries or similar activities shall be drawn on the final day of the exhibition by or in the presence of an authorised representative of the organiser and full details of the winner shall be notified to the organiser in writing immediately following the draw or judging of the competition.
1.8 COMPRESSED AIR
There are strict regulations governing the use of pressurised gases within the exhibition hall. Compressed air may not be used during the open hours of the exhibition and may only be used at other times under supervision. If you wish to use compressed air, please notify the organisers with details.

1.9 CONDUCT OF EXHIBITORS
The exhibitor and all persons for whom it may be considered responsible in any way whatsoever, must conduct itself in such a manner as shall not in the view of the organiser cause disturbance to any other exhibitor, any visitor or the organiser, and shall not create any disturbance, loud noise or obstruction which is, in the view of the organiser, unnecessary or unacceptable. The exhibitor and all persons engaged or employed by them must present a clean and tidy appearance and maintain a polite and sober demeanour at all times. Any person who does not comply with these requirements shall be liable (at the discretion of the organiser) to have their badge revoked and shall be removed from the exhibition hall and refused re-admission. This shall also be applicable to any person deemed in the opinion of the organisers, to be intoxicated or under the influence of drugs.
The exhibitor must conduct its business only from its own stand and must not, under any circumstances, canvas visitors in the aisles or in any other part of the show.
1.10 COPYRIGHTS
Exhibitors must comply with all relevant provision of the Copyright Design & Patent Act 1988.

1.11 DANGEROUS MATERIALS OR EXHIBITS
All exhibitors, contractors, sub-contractors and all other personnel must comply with the COSHH Regulations (Control of Substances Hazardous to Health). Listed below are some of the main provisions of these regulations.
- No naked lights or oil lamps may be used in the exhibition hall.
- No petrol, poisons, corrosive chemicals, flammable substances or other dangerous substances or materials are allowed into the Exhibition Hall.
- Gas requirements must be obtained from the nominated supplier only.

- The exhibitor must conform to and observe all regulations and requirements concerning dangerous materials and substances as laid down by the Authorities and comply with all applicable laws.
- All Stands must comply with Class 1 Fire Regulations.

1.12 DEMONSTRATIONS
Any exhibitor wishing to carry out demonstrations on its stand must obtain prior written consent of the organisers 4 weeks before the show, giving details of the intended demonstration. All demonstrations or efforts to advertise, promote sales and operate exhibits must be conducted so as not to cause any annoyance or inconvenience to other exhibitors and visitors. Any such activity which, in the opinion of the organiser is dangerous, causes annoyance to any other exhibitor or visitor or is otherwise inappropriate may be prohibited. The organiser may in the case of serious or persistent breach of this requirement, exclude the exhibitor or terminate the exhibitor’s Contract. Demonstrations must not block or hinder passage of the gangways or aisles.
Product demonstrations
Product demonstrations can attract crowds and it is recommended that such activities are strictly limited to essential demonstrations only.
If a demonstration (on the basis of demonstrating to more than two people) of your product is vital, you will need to provide the organiser with evidence of how you intend to manage and monitor your audience to ensure that over-crowding does not occur, gangways are kept clear and physical interactions are minimised. An accompanying risk assessment will be required.
Consider increasing the number of demonstrations throughout the day, with a controlled and reduced viewing capacity at any one time.
As an alternative, consider offering a virtual demo/walk through instead.

1.13 DILAPIDATION
The exhibitor is responsible for the cost of making good, restoring or renewing all damage or dilapidation to the exhibition hall or any part thereof, caused by the exhibitor or any person employed or engaged on its behalf. Dilapidation includes (by way of example only) marks caused by paint, distemper, mortar or any other adhesive substance (including carpet tape, bolt, screw or nail holes, battens, boarding or any other material or substance attached or adhering to walls, floors or any part of the building; loose wire, waste, rubbish or other items left behind). The cost of making good will be assessed by the organiser or the owner and charged to the exhibitor by the organiser. In their own interests exhibitors should satisfy themselves as to the condition of their site, both before stand erection and after clearance. Exhibitors occupying stands are also responsible for the cost of making good, restoring or renewing any damage or dilapidation to stand structures, floor coverings, light fittings, or any part thereof, whether caused by themselves or by any persons employed or engaged on their behalf. The cost of making good any damage will be assessed by the stand contractor and advised to the exhibitor.

1.14 DISABLED FACILITIES
Disabled exhibitors and visitors in wheelchairs and pushchairs are welcome. However, for safety reasons an able-bodied adult should accompany them, and it is possible to have free use of a wheelchair. The car park includes 15 disabled parking bays and there is direct access to Manchester Central by lift, stairs and escalators.. EU regulations state that disabled persons must be afforded the same opportunities as able-bodied persons – please note that your stand should be easily accessible to visitors in wheelchairs and with other disabilities – i.e. include ramps on stands with platforms.
1.15 DISTRIBUTION OF PROMOTIONAL MATERIAL
The exhibitor is not permitted to place or affix advertisements anywhere in the exhibition hall except on its own stand or place approved in writing by the organiser. The exhibitor may not distribute advertising material from the gangways or other public areas, but only from their stand and only in relation to its own goods or services.
All exhibitors are reminded that all business including the dispensing of advertisement literature and promotional material must be conducted from their own stand. Exhibitors’ staff are not permitted to hand out leaflets etc. in the gangways and aisles, at the entrance to the show, or in any other part of the exhibition hall except within their designated stand area unless permission has been granted in writing in advance by the organisers. Please note that promotional material must not be attached to any part of the building. Any promotional material found, for example, fixed to columns or balustrades will be removed immediately with any damages charged directly to the exhibitor.
Any activity carried out on the stand that is in a conflict of interest with any sponsorship opportunity in the show must be stopped immediately at the event organisers request. Failure to do so will terminate your contract and risk your stand being shut down.

1.16 EMERGENCY PROCEDURES
During build up, all exhibitors will be given a copy of the venues ‘Emergency Procedures for Exhibitors’. Please make sure that all staff and contractors read this and understand the contents. If you have any queries, please contact the organiser’s office.
1.17 FILMING
Only handheld, battery operated equipment is allowed during opening hours of the event. Aisles/gangways are to be kept clear of all cameras, cables and other equipment. It is important that you notify the organisers of any TV, filming, video or radio broadcasting that you anticipate being carried out at the show as there are certain health & safety regulations to be adhered to when using broadcast media. If you are planning or allowing any filming or recording for television or radio, please contact the organisers 4 weeks before the event.

1.18 FIRE & SAFETY REGULATIONS
ALL stands must conform to BS 476-Part 7 class 1 Fire Regulations. If you have any queries, please contact the Manchester Central Fire Safety Officer or the operations team at Diversified.
1.19 FIRST AID
First aiders will be on-site throughout your tenancy. If first aid is required, please tell a member of the organisers or any venue steward. A member of the first aid team will
come to help.
1.20 GANGWAYS
The gangways in the venue are the minimum permissible in law. Under no circumstances will exhibits, stand dressings, tables, chairs etc be allowed to encroach into the gangways. It is the responsibility of the exhibitor to ensure the gangways adjacent to its stand are kept free from obstruction during the whole time the exhibition hall is open and so far as practicable during the setting up and the dismantling of the exhibition.
The organiser reserves the right to require any exhibitor who, in the opinion of the organiser, is using his stand for demonstrations in such a manner as to cause or to be likely to cause congestion in the gangways, to arrange for a counter or other stand structure to be set back 1.2m (4ft) from the front limit of the stand.
No exhibitor or any person for whom the exhibitor has responsibility shall:
- Lecture from his stand or address visitors in such a way as to collect a crowd in or cause congestion in the gangways. Demonstrators must work from the normal stand platform level.
- Be allowed to perambulate or use any of the gangways, foyer or forecourt of the exhibition hall for the purpose of exhibiting, promoting, demonstrating, selling, giving away, or advertising any goods or services.
Any person breaching this requirement, unless previously given permission by the organiser in writing, is liable to be removed from the exhibition hall and refused re-admission. In case of serious or persistent breach, the organiser may exclude the exhibitor or terminate the exhibitor’s contract.

1.21 HAZARDOUS SUBSTANCES
Petroleum spirit, paraffin or other mineral oil may not be used in a lamp, stove or other appliance or exhibit without special prior permission. Please contact the organsiers 4 weeks before the event.
1.22 HEALTH & SAFETY
The Health and Safety at Work Act 1974 applies to all plans of work, including Exhibition halls and anybody at work irrespective of status. Exhibitors and Contractors have a duty under this legislation to ensure the health, safety and welfare of themselves and others by what they do or fail to do. See also Health & Safety at Work Act.
All personnel must comply with the Health & Safety at Work Act 1974. Some principal areas for the attention of all Exhibitors & Contractors are: –
- An understanding of the Fire & Emergency procedures and location of First-Aid centres. (A copy of ExCel’s Emergency Procedures Will be available from the organisers office).
- First Aid – The First Aid Centre is down the stairs between Boulevard Entrances N4/S4. Alternatively contact the Show Organiser’s Office
- A need to maintain Emergency Exits and keep aisles/gangways clear.
- Ensure Good Housekeeping in order to minimise hazards and allow any remaining hazards to be identified.
- Working at Height must be done safely, e.g. using steps, mobile scaffold towers or powered access equipment etc.
- All Powered Equipment (cranes, forklift trucks, electric tow tugs, hydraulic access equipment etc) must only be operated by fully trained and certified personnel.
- A written Health & Safety Policy is in place within the company (if more than 5 people employed). A suitable Risk Assessment should be completed with respect to tasks carried out at build-up, break-down and during the show.
- A suitable Risk Assessment is mandatory for all Exhibitors building on their stand or site.
- Only acceptable substances are allowed onsite to comply with the COSHH Regulations. See Hazardous Substances below.
- Portable power equipment must be used only for the purpose for which it was designed, with the correct safety guards and devices fitted and used. Trailing leads must be kept to a minimum and not cross gangways unless protected at source by a residual current device.
- Petrol Powered Equipment must not be used.
- Personal Protective Equipment (PPE) must be used where other protective measures have been considered unrealistic. PPE must be suitable and sufficient for the job and personnel trained in its use and limitations.
- All Contractors, particularly from outside UK must be aware of the need to identify suitable & sufficient tools & equipment. The borrowing of tools and equipment from ExCel is not a consideration.

1.23 HELIUM GAS/BALLOONS
Helium gas is permitted in the exhibition hall but is subject to the following conditions: –
- Only one cylinder at a time is allowed on the stand and this must be secured to the stand with either cable ties or chain.
- Helium cylinders may only be used prior to the opening of the show, not during show hours.
- Manchester Central will store any spare cylinders in their secure site.
Manchester Central and the local authorities need to be aware of any gas usage and therefore any exhibitor wishing to bring helium gas cylinders into the exhibition hall needs to notify the organisers 4 weeks before the event with details. Helium balloons must be secured properly. A dilapidation charge to cover retrieval will be made to the exhibitor if any become loose and float into the roof structure or ventilation system.
1.24 INSURANCE
A charge has been made to all exhibitors as part of your contract to cover the cost of each exhibitor’s insurance. If you already have an insurance policy, please send a copy to [email protected]
1.25 LIABILITY
The organiser shall not be liable for any liability the exhibitor may sustain in respect of the infringement of any copyright, trade mark, service mark, patent, trade name, registered design, designs or other form of intellectual or industrial property or any know-how, inventions, formulae, confidential processes or information, or computer programmes and software and any other protected rights, assets or interest arising out of its participation in the Exhibition. The exhibitor shall not acquire or receive any right, or entitlement to, or in connection with the exhibition or its name through exhibiting in the exhibition and agrees not to seek or claim any such right or entitlement.

1.26 LITTER DISPOSAL
Exhibitors with stands likely to accumulate litter during the day, e.g. food and drink cartons, paper and card etc MUST provide themselves with non-combustible litter bins for this waste.
1.27 LOST PROPERTY
Please hand in any lost property found on your stand or elsewhere either to the organisers office or to the event security team.
1.28 MUSICAL ENTERTAINMENT/COPYRIGHTS
If you intend to play live or recorded music during your
event, you will need a PRS and/or PPL licence.

1.29 NIGHT SHEETS
If any Exhibitor wishes to use night sheets these shall be of inherently non-flammable material or of material treated to render it non-flammable to the satisfaction of the Licensing Authority. While stands are in use, night sheets shall be kept in position where obstruction is not caused. They can be ordered from GES, please complete the GES Optional Extras Forms within the Contractors Forms section or contact GES directly (their contact details can be found on the contacts page of the manual).

1.30 NOISE
Volumes for pre-recorded or live performances must be of an acceptable level with speakers facing inward towards the stand. All stands must be able to switch off the power if the noise is excessive. In cases of dispute the decision of the organisers is final.

1.31 PARKING
There is a 24-hour NCP car park directly below Manchester Central. It has 720 spaces including 18 disabled parking bays and three electric vehicle charging points. There is direct access to Manchester Central by lift, stairs and escalator. Please note that Manchester Central NCP has a 1.98 m height limit

1.32 PRIOR APPROVAL AND CONSENTS
The Exhibitor MUST apply in writing to the Organisers prior approval and consent for:
- Animals/Pets on stands
- Children on Stand
- Competitions, prize draws, raffles etc
- Demonstrations
- Helium Gas/Air/Balloons
- Special Effects/Lasers
- Vehicles/Mobile Units/Trailers
- Special Treatments/’Hands on’ Treatments
- Banner/Flags
- Construction of Space-Only stand
- Dangerous materials or exhibits
- Filming
- Sub-letting of stands
- Working machinery /water features
1.33 SALES OF GOODS
Direct retailing of goods from stands is NOT permitted although trade orders may be taken.
1.34 SECURITY DURING BREAKDOWN
We strongly recommend that you breakdown, pack up and remove your goods from the stands before 6pm on the final show day to reduce any possible security risk.
1.35 SHOW ORGANISER’S OFFICE
The organiser’s office is located just outside the entrance to the hall.
1.36 STORAGE
No excess stock, literature or packing cases may be stored on, around or behind the stand.
1.37 WATER FEATURES
Examples of water features can include showers, spas, garden ornaments and fountains, washing equipment and pools. Any water feature that produces a water spray (however minor) poses a particular risk to public safety with regards to bacteria and specifically Legionella pneumophila the bacteria responsible for Legionnaires Disease.
EXHIBITORS MUST IDENTIFY ANY WATER FEATURES ON THEIR STAND with or without spray and notify the organisers 4 weeks out of the event. All exhibitors with proposed water features on their stand must complete a detailed risk assessment, and return this by 4 weeks before the event.
2.1 ALCOHOL
Alcohol is not to be sampled or sold to anyone under the age of 18 years old.
Please complete the health and safety form if you intend to sample alcohol.
There must be a personal licence holder present on your stand. If this is not possible the personal licence holder must provide a letter of authorisation for those providing the samples.

2.2 CATERING
All articles for human consumption, whether for eating or drinking within the exhibition hall must be supplied from the official caterers. To order additional catering please click here.

2.3 FOOD & DRINK RETAILING
The sale of Food or Drink from Exhibition stands for consumption onsite is not permitted. Food, drink or confectionery may be sampled (free of charge) in small quantities.

2.4 HOSPITALITY
All hospitality or customer entertainment on Manchester Central premises must take place on your stand, in enclosed areas do not open to the public. Any food and beverages consumed must be obtained from Manchester Central or their agents.

Washing Facilities
It is the responsibility of each exhibitor or concessionaire to assess the extent of their operation and ensure that adequate, suitable and sufficient washing facilities are provided in conjunction with their operation.
The washing facilities required are determined by factors such as the public health and food safety risks posed by the operation, the scale of the operation, types of food, equipment used, types of serving container (disposable/reusable) etc.
Where the sharing of facilities is proposed, exhibitors/concessionaires must liaise with each other and the organisers prior to the event, in order to ensure that the overall provision of facilities adequately services all exhibitors/concessionaires when operating at maximum capacity.
Where a hand wash sink is required, it should be dedicated solely for hand washing, easily accessible at all times and unobstructed. Hand-washing facilities should not be further than 3 metres from any preparation area (in Scotland, hand washing facilities must be within the preparation area). It is recommended that facilities for hand washing, food washing and equipment washing (where appropriate) are labelled as such with a suitable notice affixed adjacent to each facility, to ensure that each one is used exclusively for its intended purpose.
The following guidance indicates the washing facility standards required for each category of food operation.
Manchester Central provides a full suite of menu and hospitality options to suit your event. For further information on catering, please contact your catering sales executive. The venue have recently launched an online ordering platform to allow exhibitors to order catering directly.
Manchester Central regulations do not permit Exhibitor’s using their own staff or any other non-approved persons to carry out any plumbing or connections to the main utilities within the Exhibition Hall. 3.1 BANNERS/FLAGS/HANGING ITEMS
Due to the nature of the show there will be no exhibitor rigging of banners permitted.

3.2 CARPETING
Cord carpet will be provided.
3.3 CONTRACTORS
If you are employing a stand contractor to build or work on your stand, please ensure you forward onto them a copy of this manual.
3.4 DAMAGE TO EXHIBITION AREAS
Care must be taken to avoid damage to any part of the hall or to the stands. Should any damage or disfigurement occur, the exhibitor shall be charged for the damage. Please note that this includes staining or other damage to the carpet.
3.5 ELECTRIC AND LIGHTING
Under no circumstances are exhibitor’s own staff or any other non-approved persons permitted to carry out electrical installation work within the exhibition hall. All work is to be carried out by the official contractor, GES (contact details can be found on the Contractors Contact Page).
All stands are supplied with spot lights depending on the size of the stand.
All stands are supplied with a 500w power socket. If you require power point(s) for either single or 3 phase electricity or ANY OTHER electrical supply apart from the items included in your stand package this must be ordered in advance.

All equipment & practices must comply with the Health & Safety at Work Act 1974 and the Electricity at Work Regulations 1989.
Please Note the following: –
- Any fittings connected to circuits previously completed, and any electrical appliances brought to the show will be subject to testing by the appointed electrical contractor. The electrical contractor has the right to disconnect any equipment that they feel is either dangerous, in faulty condition, liable to cause danger, installed without their authority or consent, connected to or ancillary to any equipment installed or maintained by them.
- Exhibitors’ equipment must conform to all current electrical and safety standards otherwise it will be disconnected.
- Exhibitors are warned that under no circumstances can 13-amp adaptors be used, nor extension leads in excess of 1.5 meters.
- The venue will switch off all power 30 minutes after show has closed. Therefore, exhibitors with fridges etc must order 24-hour power supply.

3.6 EMPLOYMENT OF LABOUR
The name of any contractor (other than an official contractor) proposed to be employed by an exhibitor for the carrying out of permitted work within the exhibition hall in connection with stand fittings or space only stand construction, must be notified to the organiser for badges to be supplied.
Contractors
- Contractor badges are only valid during build-up and pull-out periods.
- Contractor badges can be collected on arrival from security officials posted on the doors.
3.7 FIREPROOFING/ CONSTRUCTION MATERIALS
All materials used in the construction of stands, features and displays, including signs and
fascia’s, shall be:
- Of a suitable nature and quality for the purposes and conditions of their intended use
Adequately prepared and fixed in order adequately to perform the functions for which they are designed - Compliant with the British Standard relevant to the particular material or item and
ultimately, non-combustible, inherently non-flammable or durably flameproof in
accordance with BS 476-Part 7 - Water-based, where applicable, e.g. adhesives, paint and fillers
All display materials must be made from fire proofed materials to the satisfaction of the Authorities and Regulations; as a brief guide to the main points please note the following: –
Decorative Materials
- Decorative materials used for stand dressing must be flame proofed or purchased already treated
by use of the appropriate chemical. - Untreated wallpaper and similar thin surface finishes, not exceeding 1mm in thickness, may be
accepted, provided they are firmly fixed. - Artificial plants and flowers are combustible and give off toxic fumes. Therefore, they must not be
used for stand dressing. Silk-type flowers are acceptable, providing they are fireproof or have been
treated and marked as such.
Fabrics
- Drapes, curtains, hangings etc. must be inherently or durably flame-proofed. Otherwise they may
be treated with a proprietary flame retardant. Test certificates must be available for inspection for
any materials intended to be used.
Paints
- Only Water-based paint can be used onsite.
Plastics
- All plastics including the use of artificial plants (dried flowers are permitted) and vision panels must conform to BS 476-Part 7, Class 1 Marked
- Perspex must not be used but Lexan & Macralon are OK.
Timber
- Timber under 25mm thick much be impregnated to Class 1 standard. Tested materials should have BS 476-Part 7,Class 1 Marked
- Boards, Plywood, Chipboard etc must be treated if under 18mm thick. the exception to this is MDF due to its density.
- MDF and Chipboard must not be machined onsite due to the the hazardous dust produced.
General Fire Safety
- Gangways – No exhibits, stand dressing, tables or chairs etc are to be allowed to encroach into the gangways.
- Naked flames – will not be allowed within the Exhibition Hall.
- Inflammable substances – Explosives or inflammable substances may not be exhibited or brought into the Exhibition Hall. Neon Lighting is permitted but a fireman’s switch much be installed on the stand.
The venue Fire Safety Officer will carry out an inspection before the opening of the event to ensure all fire exits and gangways are clear. Venue Fire Officers will patrol during the event. We would remind exhibitors that the Local Authority has the right to remove any fitting or material which contravenes these regulations and ultimately to close down a stand. Exhibitors should draw the attention of their contractors to this requirement. An exhibitor committing a breach of any of the above provisions will be liable for all claims, loss and damage thereby caused and will indemnify the organiser and the owner in respect thereof.
3.8 FIRE EXTINGUISHERS/FIRE BLANKETS
Fire extinguishers will be placed around the show floor by Manchester Central Fire Officers, these are for emergency use only and should not be moved or tampered with. The venue fire officers will issue fire blankets to exhibitors/stands as they see fit according to risk. If given a fire blanket for the stand theexhibitor is responsible for it throughout the show and for its return at the end of show when they are collected. 3.9 FLOORING
Stands will have cord carpet, and this cannot be removed. Carpet may not be laid directly to the hall floor unless the appropriate tape is used.

Floors/utility ducts
Manchester Central has underground ducts and the floors above these have a point loading of 12 tonnes per sqm. Exhibitors building larger stands should take note of the above. Please note when designing the layout of your stand, that the ducts providing utilities (gas and water) are not continuous and can consequently have a bearing on placement of sinks, waste etc within your stand. We advise you to check your stand layout with Manchester Central beforehand to iron out any potential problems.
3.10 GENERAL STAND APPEARANCE
Exhibitors must ensure that their stand meets an acceptable standard. Any stand that, in the organisers opinion, does not meet that requirement must be brought up to the required standard with the exhibitor concerned and be liable for any costs incurred in the process. The organiser may, at the expense of the exhibitor, remove or alter anything in, on or forming part of any stand or display if, in their opinion, this is necessary to comply with the rules & regulations, or if it is desirable to do so in the interest of the exhibition.
3.11 REMOVAL BY EXHIBITORS
Exhibitors are responsible for the complete removal from the exhibition hall of all exhibits, (i.e. goods and materials used by them, together with all waste and rubbish) in accordance with the directions of the organiser. Should any exhibitor fail to remove any of the foregoing within the time stipulated then the organiser shall be entitled to remove and dispose of such materials without liability to the exhibitor, who shall be liable for and indemnify the organiser in respect of all costs and expenses incurred and the exhibitor shall also indemnify the organiser in respect of any claim or liability suffered or incurred by the organiser for failure to give possession or any part of the exhibition hall to the owner on the due date. The organiser reserves the right to specify the time at which individual stands and exhibits shall be removed. Notwithstanding instructions issued specifically for the closing night of the exhibition, the security of exhibits, stands, furniture and all property of the exhibitors at all times including the demolition period is wholly the responsibility of the exhibitor and the organiser will not be responsible for any loss or damage suffered or incurred.
Exhibitors must breakdown, pack up and remove your goods before 6PM on the last day of the show. PLEASE NOTE that ALL goods, stands and other items MUST be collected and removed from the premises when our tenancy finishes. Failure to do so will incur removal costs and disposal or storage costs for which the exhibitor will be wholly responsible. If you are using a courier to collect your goods, please make sure that they are aware of this deadline. We would strongly recommend waiting on your stand with your possessions until handed directly to the courier.

3.12 RIGGING
Due to the nature of this event exhibitor rigging will not be permitted.

3.13 RISK ASSESSMENTS
All stands are required to submit a risk assessment based on activities while exhibitors are on their stand. This includes time for setting up as well as for show open. This is to be completed by exhibitors, not stand contractors. A template for this can be found in the Health & Safety Form under Compulsory Forms.

3.14 STANDS INFO

3.15 SPECIAL EFFECTS/LASERS ETC
If exhibitors wish to use any special effects (e.g. lasers, smoke machines, pyrotechnics) then a special application must be made to the organisers 4 weeks before the event. It is imperative that we are aware of any plans in order for us to apply for the necessary licenses. The exhibitor is wholly responsible for costs incurred for special licenses and any other related fees.
3.16 STAND COMPLETION
All stands MUST be fully completed by close of build up. Please refer to the show timetable A fee of £500 will be charged to any exhibitor whose stand is not ready in time. No stand may be worked on whilst the exhibition is open. If a stand is not completed within the specified period, the organisers reserve the right to terminate the contract, without refund of charges which remain outstanding which shall be payable in full. The exhibitor shall cease to have any right or entitlement to its stand if it is not staffed and ready for admission of visitors half an hour prior to show opening.
3.17 STAND OCCUPANCY
It is essential to the success of the exhibition that all stands are staffed, opened promptly and remain open throughout the opening hours of the exhibition.
3.18 STAND POWER
This will be switched off at 22:00 on pre-open night – all exhibitors with fridges and freezers etc or equipment regarding 24-hour power will need to order and pay for this supply from GES.
3.19 VEHICLES/MOBILE UNITS
Any exhibitors wishing to place vehicles or mobile units on their stand MUST apply in writing to the organisers at least 6 weeks before the show. There specific venue rules pertaining to vehicle exhibits and for more information please contact [email protected]
3.20 WORKING MACHINERY & EXHIBITS
Any exhibitor wishing to use working machinery or exhibits must request permission and include full details in their stand plan.
Moving machinery shall, at the expense of the exhibitor, be installed and fitted with adequate protection, to the satisfaction of the organiser and the owner. If in the opinion of the organiser, it is noisy or causes annoyance to other exhibitors or to visitors, it shall be switched off or removed by the organiser.
No motors, engines, furnaces, contrivances or power-driven machinery may be exhibited in operation without adequate protection against fire and other risks as approved by the organiser in writing. Such permission may be withheld or withdrawn at any time should such operating exhibits be likely to cause danger, annoyance or inconvenience to other exhibitors or visitors.
Safety devices may be removed only when the machines are not in operation and not connected to the source of power and only for the purpose of showing a visitor the design and construction of the uncovered part or parts. In such a case however, the safety devices which are removed must be placed immediately beside the machine and replaced as soon as possible.
All exhibitors with working machinery on their stand must complete a detailed risk assessment and return this to organisers.

4.1 ACCESS
Please refer to the show timetable for specific access times.
4.2 BUILD UP & BREAKDOWN
Please read the event timetable show timetable carefully as these may now differ from previous years. We may be asking you to start your build up later, dependent on the area of the hall that you are in, or in some cases we may need you to arrive earlier, to take the pressure off the last day of build that is usually the busiest.
Please make sure to pre-order all of the services that you will require (electrical, furniture, stand extras, internet, etc) prior to coming onsite.
During build-up and breakdown of your event, all personnel must wear hi-vis (high visibility). Personnel not wearing hi-vis will not be permitted to work in the event area. Hi-vis vests are available for sale to individuals.
All goods must be packed up and removed by 6pm after the show has closed. Failure to do so will incur removal costs and disposal or storage costs for which the exhibitor will be wholly responsible. The organiser cannot be held responsible for goods uncollected within this time. No exhibitor is permitted to build up or pull out outside the specified times. Breakdown will not commence until after show close and the hall is clear of visitors.
During build-up and breakdown of your event, all personnel must wear hi-vis (high visibility). Personnel not wearing hi-vis will not be permitted to work in the event area.
Hi-vis vests are available for sale to individuals.
The Site Rules for the event will be issued prior to the show in your exhibitor bulletin. It is your responsibility to communicate these rules to all your staff, contractors and suppliers in line with CDM regulations.
4.3 ADMISSION TO THE EXHIBITION
The organiser reserves the right to refuse to admit or to expel from the exhibition hall, any person at any time not withstanding that person’s possession of any official badge or pass. The organiser will issue official badges of admission and no other form of admission badge or pass will be valid.
4.4 CAR PARKING
There is a 24-hour NCP car park directly below Manchester Central. It has 720 spaces including 18 disabled parking bays and three electric vehicle charging points. There is direct access to Manchester Central by lift, stairs and escalator. Please note that Manchester Central NCP has a 1.98 m height limit.

4.5 DELIVERIES
Deliveries / courier details
It is vital that all exhibitors and couriers are aware that deliveries can only be accepted within the hall open hours specified in the show timetable
Deliveries can only be made during tenancy days and need the following information:
– Addressee
– Event name
– Room name (of where the event is taking place)
– Organiser’s office or stand number
– Recipient contact number

Manchester Central does not accept deliveries on behalf of exhibitors. Please ensure a suitable representative is available to receive the goods. Deliveries made before the start of tenancy will be returned at the sender’s expense.
Storage within Manchester Central is very limited. Before or after tenancy, Manchester Central will not accept responsibility for storage so all deliveries must be made during the build up period.
Outstanding collections – Manchester Central does not have on-site storage or the capability to forward remaining items. Anything left on-site after tenancy may be removed/disposed of at the tenancy holder’s expense.
Delivery access to Central Halls & Charter Suite is at the back of Manchester Central via the ramp off Albion Street. If using a satellite navigation system – please follow the postcode M1 5LN.
A representative of the company will need to accept delivery on the stand. The organisers cannot be held responsible for chilled or frozen deliveries. The exhibitor or their representative needs to be onsite to accept delivery. Alternatively, the appointed Show Freight Company will be able to do this for you and put your goods into appropriate storage, but you MUST arrange this directly with them.

PLEASE NOTE – All consignments of organic products imported from countries outside the EU, excluding the European Economic Area and Switzerland, must be accompanied by an electronic certificate of inspection (COI). 4.6 EXHIBITOR BADGES
Exhibitor badges are valid throughout the whole period of the show. In the interests of security, it is always imperative that exhibitors and contractors wear identity badges during the show, including build-up and breakdown. Security will check the badges of EVERYONE wishing to enter the show floor and will not admit anyone without a valid pass.
Contractor badges are only valid during build-up and pull-out periods. Contractors will need to pre-register before coming on site. Badges will be ready to collect on site.
6.1 AUDIO VISUAL

6.2 CLEANING/RUBBISH REMOVAL
Exhibitors are responsible for the provision and use of waste bins on their own stands. Some recycling facilities will be provided – please recycle goods wherever possible if you can. Gangways, aisles and public areas will be cleaned daily by the venue, and an Official Contractor provided by the organiser will undertake to empty waste bins and if required early vacuum the floor of the stand once a day. Any black bags of rubbish placed in the aisles (after show hours) by Exhibitors will be removed. Exhibitors are reminded to make sure no items or materials are left onsite after the show.
6.3 CUSTOMS & EXCISE
For any exhibitors importing goods for the show, we recommend that they use our appointed freight services company, GES Logistics (contact details can be found on the Useful Contact Page) who can arrange all necessary Customs and Excise papers on your behalf. See Freight Services.
6.4 ELECTRIC AND LIGHTING
Under no circumstances are exhibitor’s own staff or any other non-approved persons permitted to carry out electrical installation work within the exhibition hall. All work is to be carried out by the official contractor, GES (contact details can be found on the Contractors Contact Page) . If you require power point(s) for either single or 3 phase electricity or ANY OTHER electrical supply please complete the Electrical Order Form in the Stand info and Optional order section of the online manual and send directly to the contractor. All equipment & practices must comply with the Health & Safety at Work Act 1974 and the Electricity at Work Regulations 1989. Please note the following: –
- Any fittings connected to circuits previously completed, and any electrical appliances brought to the show will be subject to testing by the appointed electrical contractor. The electrical contractor has the right to disconnect any equipment that they feel is either dangerous, in faulty condition, liable to cause danger, installed without their authority or consent, connected to or ancillary to any equipment installed or maintained by them.
- Exhibitors’ equipment must conform to all current electrical and safety standards otherwise it will be disconnected.
- Exhibitors are warned that under no circumstances can 13-amp adaptors be used, nor extension leads in excess of 1.5 meters.
- Manchester Central will switch off all power 30 minutes after show has closed. Therefore, exhibitors with fridges etc must order 24-hour power supply.

6.5 FAILURE OF SERVICES
The organiser will seek to ensure the supply of all the services mentioned in this manual, but where the supply of such services is not within its reasonable control, the organiser shall not incur any liability to any exhibitor for any losses, costs or damage if any such service shall wholly or partially fail or cease to be available, nor shall the exhibitor be entitled to any rebate or allowance in respect of charges due or paid under the contract.
6.6 FLORAL DISPLAYS & PLANT HIRE
Floral decorations can considerably improve the appearance of a stand. If you buy your own plants, you can take them home at the end of the show. Please note: Artificial and cellulose plants are not permitted due to the Fire Safety Regulations. However, dried flowers, fresh flowers and flame-proofed silks are permitted
6.7 FREIGHT SERVICES
For transporting your goods either across the UK or from overseas we have appointed the services of GES Logistics. If you wish to use their services, please contact them directly, their details can be found on the Useful Contact Details Page of this manual.
6.8 FURNITURE
This year’s furniture supplier will be GES Furnishings. Their catalogue is available to view here. To order your furniture, please contact GES Furnishing on Tel: +44 (0) 2476 380 180 Email: [email protected]. It is important to keep a record of your order in case you need to contact them on-site.
6.9 GAS
Gas run appliances (including free-standing units) must be run off mains gas, which can be provided on all stands. Regulations specify that all gas connections must be made by their Official Contractor, Manchester Central Gas appliances must be situated well away from any combustible materials. Gas burners or similar open flames shall be mounted on suitable non-combustible bases e.g. 2” stone slabs which must be not less than 2’ 6” above floor level If you require gas, please contact Manchester Central Tel: 0161 834 2700 Email: [email protected] . This must be returned to the supplier 4 weeks before the event. To be completed by all Exhibitors wishing to use any apparatus or appliances run on gas.
